Purposes and Legal Bases for Processing Personal Data
We process your personal data—first name, surname, telephone number, email address and identity document details, where applicable—which we obtain in the course of and in connection with the negotiation and performance of our contractual relationship with your employer or the contracting party you represent.
Such data are processed solely for purposes related to the negotiation, conclusion, performance, termination and archiving of the contract and for the periods necessary for those purposes.
We rely on Article 6(1)(f) of Regulation (EU) 2016/679—the General Data Protection Regulation (“GDPR”)—for this processing, namely our legitimate interest in being able to contact our contractual partner through its representatives for the purpose of concluding and performing the contract.
We may also process your personal data in order to identify individuals granted access to our premises and places of business, in compliance with our legal obligations relating to security and protection. The legal basis for this processing is Article 6(1)(c) of the GDPR.
Your personal data are not subject to automated individual decision-making, including profiling.
Disclosure and Transfer of Personal Data
Your personal data are not transferred outside the European Union or the European Economic Area (“EU/EEA”).
In accordance with applicable law, your personal data may be disclosed to competent public authorities, companies belonging to Vienna Insurance Group, and third parties engaged by Global Assistance Services S.R.L. to support its business activities, such as legal advisers, auditors and other service providers.
Retention Periods
For the purposes of concluding and performing the contract, Global Assistance Services S.R.L. will retain the relevant documents and the personal data contained therein throughout the term of the contract and for a period of six years following its termination.
Where an applicable legal provision requires a longer retention period, the documents and personal data will be retained for that longer period, in accordance with the law.
Any other personal data will be retained only for the periods required under applicable legal obligations.
Your Rights Regarding the Processing of Personal Data
As a data subject, you have the following rights under applicable data protection legislation, subject to the conditions laid down therein:
- the right of access;
- the right to rectification of your personal data;
- the right to erasure;
- the right to restriction of processing;
- the right to object to processing;
- the right to data portability, where applicable; and
- the right not to be subject to a decision based solely on automated processing, including profiling, which produces legal effects concerning you or similarly significantly affects you.

You also have the right to lodge a complaint with the National Supervisory Authority for Personal Data Processing (Autoritatea Națională de Supraveghere a Prelucrării Datelor cu Caracter Personal – ANSPDCP) if you consider that your personal data have not been processed in accordance with applicable law.
